Daxko Operations: Child Profile Available in Live Sites!

With the March 26 Daxko Operations release, we are excited to introduce new Child Profile functionality to all organizations in their Live sites! For the past year, several organizations have been using the Child Profile to streamline childcare and camp registrations. Review all the new functionality below.


Child Profile Available in Live Sites

Are you ready to streamline registration for childcare and camp programs? Here are a few key benefits of using the Child Profile:

  • The Child Profile was created to empower registrants to answer questions on their own time before registration opens, reducing registration time significantly. Some associations have been able to reduce childcare program questionnaires by up to 70%!
  • It also reduces the staff grievance of building long questionnaires that often ask the same questions repeatedly for multiple program registrations.
  • The Child Profile allows registrants to edit responses at any time and gives staff users the tools to review these updates

Ready to start using the Child Profile? The first step is making sure the right staff members have the Manage Child Profile settings Child Care role permission:

Daxko Operations: Trusted Screening Guest Scans + Area Reservations Enhancements

This Daxko Operations release includes a few feature updates we are very excited to provide to organizations. The first is an expansion of Trusted Screening capabilities, allowing for single or bulk guest scans alongside the existing automated scans. Then, we’ve enhanced Daxko Scheduling to allow for capacity-based reservations, waivers, and a lot more. Finally, for organizations using the latest payment processing solution in Daxko Operations, we have introduced an upgraded experience for managing unusable credit cards.

Trusted Screening Guest Scans

The security of your facilities is crucial, and your teams work diligently to create a safe and welcoming environment for the communities you serve. With Daxko’s Trusted Screening integration, your organization can have the peace of mind to confidently say that members 18 years+ have been screened against the registered sex offender (RSO) database through our partnership with Raptor Technologies. With this release, we’re expanding the automated capabilities of Trusted Screening to include individual – or guest – scans, along with the automated and batch scans already taking place.

This user guide will walk you through Trusted Screening updates that now allow for single and bulk scans of guests or other individuals.

Area Reservation Enhancements

Your organization is always evolving how you connect with your community. And as more organizations offer facility reservations and rentals, we’re evolving our scheduling capabilities to support additional use cases, while also streamlining the member and staff experience. This release includes exciting updates to Daxko Scheduling to help your organization make the most of scheduling capabilities, improve the user experience, and increase revenue.

What’s new with this release?

  • “Rentals” are now called “Reservations”
  • Book reservations toward a defined maximum capacity
  • Associate agreements with reservations
  • Allow members to specify who’s involved with the reservation

Upgraded Experience for Unusable Credit Cards

For organizations using the latest payment processing solution in Daxko Operations, we have introduced alerts for unusable cards to improve the payment experience for members and staff. Ultimately, we hope to reduce payment declines and improve the amount of successful scheduled and one-time payments.

With this update, if Daxko Operations determines that a member’s card is not usable anymore due to a hard decline, staff and members will now see “Unusable Card” alerts on the member’s payment pages on both the in-house experience and the online member portal. This guide includes examples of the new experience.

This release also includes some maintenance items and fixed issues, including:

  • Fix membership add-ons not moving with Data Manager
  • Issue with making payment by saved EFT method at organization
  • Fix for Adjustment Summary Report Details not using to and from date in URL
  • Fix for users being able to see RSO Report w/out having “View Memberships Reports” permission
  • Discount Group causing error in facility usage report
  • % discounts adding “+ tax” verbiage (no actual tax) to customers without sales tax

Trusted Screening: Guest Scans

Last year, we introduced Trusted Screening, a new integrated, automated sex offender screening service in Daxko Operations through our partnership with Raptor Technologies. In an upcoming release, we will be expanding this functionality to include individual and bulk guest scans, helping to make your facilities even safer.

Daxko Scheduling: Facility Reservation Enhancements

As more and more organizations adopt Daxko Scheduling to support their facility reservations and area scheduling, we’ve been working on some meaningful enhancements that will improve the member experience and help you maximize your reservation offerings:

  • Set up area rentals (now called reservations) to have a maximum capacity instead of being private or semi-private. For example, now you can book up to 50 individuals per hour at your ice rink!
  • Allow reservations to specify which members are attending
  • Collect waivers for reservations, online and in-house
  • Improved online booking & calendar experience
  • New reservation rosters and capacity reporting
  • and more!

GroupEx PRO + Daxko Operations Integration: Member Eligibility 

Users of GroupEx PRO will soon have a way to configure group exercise classes to allow or not allow nonmember reservations, giving you more flexibility around your offerings.

Child Profile Management

The new Child Profile provides a dedicated childcare profile that parents & guardians can access and update before, during, and after registrations. Early adopters who have been using the Child Profile have been able to streamline their childcare registration process by reducing the number of registration questions asked by up to 70% while also allowing parents & guardians to update Child Profile questions before, during, and even after registration.

In an upcoming release, we will be making the Child Profile available in all Training sites, following by a Live site release a few weeks later.

Daxko Operations: Happy New Year!

In our first Daxko Operations release in 2024, we’re happy to include a handful of updates that came directly from user product enhancement requests. We always love hearing from users, and we’re thankful for your thoughtful feedback and requests.

The below items will be available for all organizations on Wednesday, January 17, in Training and Live sites.


User Enhancement Requests

Collect Billing Method When Joins Reduced to $0.00

We know some users have been experiencing frustration with some membership promotions not collecting and saving a billing method for online joins. We understand that in these scenarios you need a saved billing method for future membership drafts. This release includes an update to address this issue, when joins are reduced to $0.00 through promotions.

Display Online Program Prices from Low to High

We’ve also heard from users about a desire to show online program costs from lowest to highest, making it clearer to registrants how program price tiers up. This will also help promote the value of membership, which very often includes lower program costs.

Adding Provider Tax Identification Number in Membership Invoices

Finally, we know that many members who receive reimbursement for their membership need a way to see their association’s tax ID on an invoice. Previously, your association’s tax ID was displayed on childcare invoices. With this release, we have added that to membership invoices as well.

  • Updating terminology from “rentals” to “reservations”: we have learned from organizations that “rental” does not always resonate with their community, while “reservation” more often does
  • Allowing for capacity-based reservations/rentals: set up reservation services to allow for a maximum number of registrants for a specific time, instead of treating all reservations as private

Daxko Operations: A Better Way to Manage Recurring Membership Donations

Manage Recurring Membership Donations

Get ready for next year’s fundraising efforts with a better way to transition recurring membership donations en masse to the next year’s campaigns.

For organizations using recurring membership donations (read here for more details), campaign managers can now move recurring member donors all at once to another campaign.

This functionality will be available for all organizations on Thursday, December 21.

Daxko Operations: More Sub-Roster Enhancements, Trusted Screening and More!

The last major Daxko Operations release was earlier this month (check the details HERE in case you missed it), but this week we have a handful of small but meaningful enhancements to round out 2023. Additional Sub-Rosters Enhancements

With this release, we’ve added a few enhancements to sub-rosters, making the creation and management of sub-rosters a bit smoother.

Quick Create feature: Have a camp program where you have the same sub-roster name and/or description for several instances? Good news! We have a time saver for you! Check out the user guide HERE.

Sign-in / sign-out sheets by sub-roster: Interested in capturing attendance for sub-rosters? With this latest update, you can now print sign-in/out sheets for your different sub-rosters with 9 different templates, all from the new sign-in/out printing hub. Check out the user guide HERE.


Trusted Screening: Notification Updates

As more and more associations use Trusted Screening within Daxko Operations, we’re continuing to fine-tune those features. This release includes an update to the SMS and email notifications staff members can opt in to receive about potential and confirmed offenders attempting to access the facility. In order to provide staff members with more information, these notifications for onsite activity will now include member name.


Also, early next year, we’ll be introducing guest scanning features to Trusted Screening to supplement the automated screening capabilities. Stay tuned!

Finally, as a reminder, Raptor Batch Screening (provided by Raptor Technologies) will be discontinued at the end of 2023. Contact sales@daxko.com if you would like to learn more about Trusted Screening.

Childcare Sub-Rosters

We know that managing childcare programs doesn’t end with a roster full of registrants. In fact, it’s just the beginning. That is why we are introducing Childcare Sub-Rosters for integrated and streamlined childcare registrant management. From bus groups to classrooms, Child Care Sub-Roster functionality can help you organize Childcare participants into their various groups. Childcare Sub-Rosters expand upon Camp Sub-Rosters released earlier this year.

Updates to Camp Sub-Rosters

With this release, we have also enhanced the look and feel of Sub-Rosters navigation and added the ability to filter registrants based on Q&A. Filter by registrants’ answers to custom questions asked during join or their responses to Child Profile questions (feature must be enabled) for the following question types: checkbox, single selection, or dropdown with predefined answers.


Automated Sales Tax for Area Rentals

Applying sales tax should be simple. If your organization is required to charge sales tax for some or all facility rentals, Daxko Operations Scheduling now has a way to do so automatically. This functionality is an expansion of membership, program, and childcare/camp sales tax previously made available.

GroupEx PRO + Daxko Operations: Automated Attendance

We’ve upgraded the Daxko Operations and GroupEx PRO integration to include Automated Attendance in GXP, streamlining the process for an enhanced user experience. Now, members’ facility check-in data from Daxko Operations seamlessly integrates with GXP, automatically marking them present in their reserved Group Exercise classes.  

This feature minimizes manual attendance efforts, accelerates the check-in process, and boosts overall staff efficiency. Once enabled, members checking into a facility with class reservations are automatically checked into the relevant class rosters within the specified timeframe.

Updated Dashboards & KPIs Experience

Accessing dashboards should be quick and easy. With this Daxko Operations release, we will begin surfacing the Membership Overview dashboard without requiring users to navigate elsewhere. The Membership Overview dashboard includes the following sections:

  • Active Units
  • Active Members
  • Current Active Units by Branch
  • Current Active Members by Branch
  • Active Units by Membership Type
  • Active Members by Age Group and Gender

Daxko Operations: Automated Sibling Discounts + a Look Ahead at Upcoming Releases

With this Daxko Operations release, we’re introducing a simple way to automate sibling discounts for child care and camp programming. Early adopters have been using this functionality for several months, and we’re excited to make that available for all organizations.

This release also includes and enhancement to the GroupEx PRO + Daxko Operations integration, along with a handful of fixed issues. These updates and enhancements will be available for all organizations on Wednesday, November 7.

Automated Sibling Discounts

This release includes the ability to configure basic sibling discounts for child care & camp programs. We know associations have specific sibling discount rules that can be either automatic or a manually approved discount. We also understand that this initial release will not accommodate every scenario, so we will look to early users like you to know what we should add next.

In this first release, automated sibling discounts will be available for online registrations for child care and camp programs only. Registrations must occur in the same cart checkout for the same program for members in the same membership.

Syncing Member Updates Between Daxko Operations + GroupEx PRO

As more and more associations adopt the integration between Daxko Operations and GroupEx PRO, we’re continuing to make that experience smoother for members and staff. With this release, updates made to member name and/or email address in Daxko Operations will automatically sync to GroupEx PRO.
